Prioritize tasks with ChatGPT (More productive with AI)!

*Thisarticle is based on a YouTube video by Sophie Hundertmark, an expert in the use of artificial intelligence with a focus on chatbots and strategic AI applications in companies and public institutions. Sophie is a researcher and lecturer at the Lucerne University of Applied Sciences and Arts and is doing her doctorate in Conversational AI at the University of Fribourg. The blog text was created using a custom GPT model that was trained on Sophie’s video content, language style and expertise. For many people, Friday morning is the perfect time to plan the week ahead – especially when vacation is just around the corner. But how do you prioritize tasks sensibly when your head is already in vacation planning mode? ChatGPT is a helpful companion for precisely this purpose.

Why prioritization is more than just a list

Many users ask themselves: “How can ChatGPT help me prioritize my tasks?” The answer: Not simply by sorting, but through targeted reflection and structure. Because before ChatGPT can prioritize tasks, it needs to understand your goals, framework conditions and priority criteria.

A smart prompt for weekly planning

This is where a prompt comes into play that does more than simple to-do list sorting. It starts with a request to ChatGPT to ask smart questions to filter out your most important goals and tasks:

“I would like to prioritize my tasks for this week (alternatively: this day / this month). Please ask me smart questions so that I can identify my most important goals and to-dos and set clear priorities. Consider my overarching goals, the realistic timeframe, potential impact and tasks that could be delegated, postponed or canceled.”

At the end you ask ChatGPT for a clear list in three categories:

  1. High priority: Must be completed immediately
  2. Medium priority: Should be processed soon
  3. Low priority or delegable: Can wait or be taken over by someone else

The quick way: The shortcut

If you don’t feel like a deeper analysis, you can also use a more compact prompt:

“Here are my tasks for this week: [task list]. Please analyze them in terms of impact, urgency and personal effort. Categorize them into three clear priority levels and help me to eliminate or delegate tasks.”

This route is faster, but offers less depth. It is well suited if ChatGPT already “knows” you, i.e. is already familiar with your goals and tasks from previous chats.

Conclusion: structure creates freedom

Whether you opt for the detailed or the quick prompt: Both will help you to gain clarity and start the weekend or vacation with a good feeling. And that’s exactly what it’s all about – not only working more efficiently with AI support, but also more relaxed.
