What are AI tools?
Tools based on artificial intelligence (AI) are applications or platforms that are based on AI technologies such as machine learning, deep learning, natural language processing and so on to automate or simplify complex tasks. These tools can perform a variety of functions, from data analysis and prediction to text generation and image recognition. AI tools are widely used in many industries, including IT, healthcare, finance, marketing and more.
One of the best-known AI tools is probably ChatGPT from OpenAI.
Other examples of AI tools include chatbots, automated reporting systems, predictive analytics software and image recognition systems. They are designed to enhance human capabilities, automate processes and facilitate data-driven decisions.
Why do companies need guidelines for AI tools?
Various studies show that more and more employees are using AI tools to support their work. For example, the AI Trend Report 2024. The correct use of AI tools brings several added values for companies, including efficiency gains, productivity increases and ultimately also cost savings. However, if AI tools are not used correctly, there are considerable security and data protection risks in addition to a loss of efficiency and waste of resources.
The introduction of AI guidelines is therefore becoming increasingly important. Even if these guidelines are not intended to serve as a complete restriction, but merely to ensure the correct and ethically justifiable use of artificial intelligence.
What added value do AI tools bring to companies?
AI tools and Generative AI bring a variety of benefits to companies, including increased efficiency, cost savings and improved creativity and innovation.
- Increasing efficiency: Generative AI can help to automate and accelerate business processes. For example, it can be used to automatically generate reports, analyze data or respond to customer service requests, increasing productivity and saving time. One example of this is Unite’s AI-based customer service.
- Cost savings: By automating routine tasks, Generative AI can help reduce labor costs. For example, Generative AI used to respond to customer service requests can reduce the need for human customer service representatives and thus save costs.
- Improving creativity and innovation: Generative AI can be used to develop new and innovative solutions to various business problems. For example, it can be used to create design proposals, which encourages creativity and speeds up the development of new products. Another example is the use of Generative AI in the marketing industry. Some companies use AI technology to generate personalized marketing content. These can be based on the individual preferences and behavior of customers, which increases the effectiveness of marketing campaigns. How do companies create AI guidelines?
Guidelines on the use of AI tools should not restrict employees, but enable them to benefit as much as possible from the new technologies without taking risks in terms of security or data protection.
As a rule, AI guidelines are developed during a workshop or in the form of an iterative process. This ensures that all stakeholder groups are taken into account and that the guidelines ultimately fit in with the company’s values.
I have created guidelines for the use of AI tools based on my work with a large number of companies from different industries. These guidelines can serve as a template and can be introduced directly by companies in a slightly adapted form.
