Switch ChatGPT without losing data: How to export your data correctly

*Thisarticle is based on a YouTube video by Sophie Hundertmark, an expert in the use of artificial intelligence with a focus on chatbots and strategic AI applications in companies and public institutions. Sophie is a researcher and lecturer at the Lucerne University of Applied Sciences and Arts and is doing her doctorate in Conversational AI at the University of Fribourg. The blog text was created using a custom GPT model that was trained on Sophie’s video content, language style and expertise. The result is well-founded, up-to-date articles based on Sophie Hundertmark‘s own expertise.

The world of AI tools is developing rapidly. In addition to ChatGPT, more and more alternatives are emerging: new models, new providers and new functions. Many people therefore ask themselves the question: Should I stay with ChatGPT or switch to another tool?

You may also have heard of tools like Claude or SwissGPT. Both are exciting alternatives to ChatGPT.

But regardless of which tool you use or would like to use in the future, there is one important step that many people forget: back up your data.

In this article, I’ll show you how to export your ChatGPT history – and why it makes sense to export it now.

Why you should export your ChatGPT data

Many of you have probably already saved countless conversations, prompts and results in ChatGPT. This content is often valuable:

  • Prompts that work particularly well
  • Ideas or brainstorming sessions
  • Draft texts
  • Analyses or summaries
  • Personal work processes with AI

This history can be extremely helpful if you want to switch tools at some point or want to continue processing your content.

Exporting your data ensures that you remain independent in the long term. You can then, for example:

  • upload to other AI systems
  • analyze or summarize
  • Develop further with new prompts
  • Use for documentation or knowledge management

Even if you are not currently planning to change the tool, it is worth backing up this data as a precaution.

Step-by-step: Export ChatGPT data

Exporting your data to ChatGPT is straightforward and can be done in just a few steps.

1. open profile

First open ChatGPT and click on your name or profile picture at the bottom left.

There you will find the item “Settings”.

2. select data controls

In the settings, you will see several menu items on the left-hand side.

You will find the option there:

“Export data”

3. start export

Now you can request the export.

As soon as you click on Export, you will be asked whether you really want to start the data export. Confirms this step.

4. receive e-mail with download link

The following happens after the request:

  • You will receive a confirmation e-mail
  • The export is prepared in the background
  • This can take up to 24 hours

As soon as your data is ready, you will receive another e-mail with a download link to a ZIP file.

You can download this file and save it locally.

What is in the data export?

In the ZIP file you will find, among other things:

  • your chat histories
  • Prompts
  • Answers from ChatGPT
  • Further metadata about your conversations

You can use this data later, for example:

  • Import into other AI systems
  • Have analyzed
  • summarize
  • Use for your own knowledge databases

Change AI tools – but keep your content

The AI landscape is constantly changing. New models appear, existing systems evolve and new providers are regularly added.

It is therefore worthwhile not being completely dependent on a single tool.

You can easily export data from ChatGPT:

  • save your content
  • Flexibly switch to other tools
  • further develop your AI work in the long term

My tip: Just export the file once and save it. Even if you don’t need it today, you’ll be prepared for the future.

And very important: always remain critical and reflective when working with AI.
