Create presentations with: My workflow with CustomGPT and Gamma

A contribution from Sophie Hundertmark

Sophie Hundertmark is an expert in the practical use of artificial intelligence with a focus on chatbots, AI strategies and responsible technology integration. She is a researcher and lecturer at the Lucerne University of Applied Sciences and Arts and is currently writing her dissertation in the field of Conversational AI at the University of Fribourg. As a consultant, she supports companies, administrations and educational institutions in the introduction of effective AI solutions. More about Sophie Hundertmark on LinkedIn.

Introduction

Those of you who regularly give presentations will be familiar with the problem: every event requires an individual presentation, but time is often short. In my everyday life as a consultant and speaker, I sometimes have several appearances in one week – so it quickly becomes impossible to build completely new slides for every event. In the past, I therefore often used existing decks and only adapted them slightly. But this often felt impersonal and didn’t always fit perfectly with the target group.

This is exactly where I now use artificial intelligence. Over the last few months, I have created my own custom GPT that prepares the content of my slides for me. I then use the Pro version of Gamma to create appealing and immediately usable presentations. This workflow has fundamentally changed the way I work: I save time, can respond more individually to each target group and still have high-quality slides.

In this post, I’ll show you step by step how I go about it – from creating my custom GPT to text creation and the final design in Gamma.

Why I create my presentations with AI

Especially in my role as a speaker, I have a high demand for customized presentations. Each event has a different target group: sometimes students, sometimes managers, sometimes a specialist audience from the field. A universal collection of films is not enough.

I used to spend many hours with PowerPoint – writing content, customizing designs, searching for images. Today, a large part of this work is done by AI, so I can concentrate more on preparing the content.

Example from my everyday life:
In one week, I might give three different talks – one on the future of chatbots, one on customer experience with AI and one on ethical issues. In the past, I would probably have recycled one or two old presentations. Today, I have my own deck for every occasion, which I create in a short space of time – and which still reflects my personal tone and my typical content.

This is how I created my custom GPT

The core of my workflow is an individually trained custom GPT. In order for this GPT to write the way I need it to, I first created a solid foundation.

  • I have taken six existing presentations of mine.
  • I used this to develop guidelines with ChatGPT – not only in terms of content, but also with regard to my tone of voice.
  • I have integrated these guidelines as a system prompt in my custom GPT.

The GPT now knows exactly how my content is typically structured, what I focus on and how I formulate it. If I need a new presentation, the GPT asks me what I want to talk about and whether I have any other tips, for example:

  • Target group (e.g. students, managers, specialist audience)
  • Length of the presentation
  • Title request
  • Abstract or background information
  • Own ideas for content
  • Uploaded documents, if applicable

This gives me full control: I set the direction, but the AI does the actual content creation.

Generate content automatically with GPT

Once I have defined the key points, the GPT creates the texts for the slides in just a few minutes. I don’t just get key points, but complete content that fits directly into a slide deck.

The important thing for me is that I always bring my own ideas to the table. AI doesn’t replace my expertise, it enhances it. This is how I combine my experience with the efficiency of the machine.

Practical example:
I recently created a presentation on the topic of “AI and Customer Experience”. I gave my GPT an abstract, wrote down a few key theses and also uploaded a white paper to back up my content. Within a very short time, I had a structured collection of slide content that suited my style perfectly.

Presentation design with Gamma Pro

Of course, the texts alone are not enough – a good presentation depends on the design. This is exactly where Gamma Pro comes into play.

My workflow looks like this:

  1. I copy the content created by the GPT and paste it into Gamma.
  2. Gamma automatically generates a complete slide deck from this.
  3. I can choose colors, fonts and image styles so that the presentation visually matches my branding.
  4. I have an almost finished result in just a few seconds.

The export takes place in PowerPoint, so that I can adjust the presentation manually if necessary. However, I have to admit: The export does not always work perfectly. Sometimes layouts or individual design elements slip out of place. That’s why I check the slides thoroughly before each use.

My conclusion about Gamma:

  • Very fast creation
  • Visually high-quality results
  • Some minor reworking necessary, but overall an enormous time saving

My learnings and tips for you

After a few months with this workflow, I have gathered a number of experiences that may be helpful for you.

Advantages of AI-based presentation creation

  • Speed: I have a complete, ready-to-use deck in less than an hour.
  • Individualization: Each presentation is tailored to the respective target group.
  • Consistency: The custom GPT means that my personal style is always retained.

Challenges you should know about

  • Design check: Always edit again after exporting from Gamma.
  • Dependence on good prompts: The better the input information, the better the results.
  • Limits for very complex topics: For deeply scientific content, you still need to do a lot of work yourself.

My tips for your start

  • Start with a small custom GPT, e.g. based on 2-3 old presentations.
  • Defines clear guidelines (tone, style, typical structure).
  • Use Gamma to be inspired by the creative possibilities.
  • Always allow 10-15 minutes for post-production.

Conclusion and outlook

My new workflow has revolutionized my everyday presentation life. Today, I create slides faster, more individually and more professionally, without losing any of their personality. The combination of Custom GPT for the content and Gamma Pro for the design is the perfect solution for me.

If you give a lot of presentations yourself, I can only recommend that you try this approach. It’s worth it – both in terms of time and quality.
