How much time does AI really save you?

Perceived time savings aren't a number

In almost every workshop, I hear the same phrase: “AI saves us an incredible amount of time.” When I ask exactly how much, everyone goes quiet.

That’s understandable. No one wants to have to track their time on top of their regular work. But this leads to a real problem: Without data, you can neither justify a budget nor identify where AI actually isn’t helpful at all. And there are tasks where AI isn’t helpful. They just fade away in the good mood.

On top of that, there’s a common mistake that almost everyone makes: we forget about the follow-up work. The text comes through in the chat in two minutes, and then we spend twenty minutes tweaking it. But the number two sticks in my mind.

The AI Receipt is a small web tool that looks like a cash register receipt. You enter a task, and instead of an amount in francs, you see the time saved in minutes. It runs in the browser, on your phone just as well as on your laptop.

Not every task is completed faster with AI. Some people even slow down because rework takes up all their time. Only when you see both side by side can you decide where to use AI and where it’s better to do without it.

“AI saves us time” is a feeling. “We saved 62 hours in four weeks, 41 of which were spent writing texts” is one argument. This applies just as much to management as it does to the team.

3. You measure better simply because you measure

Anyone who writes this down should pause for a moment and ask themselves: Is AI the right choice here? This short break has a greater impact on usage than any training session.

4. Time savings become visible and can therefore be allocated

Time saved goes to waste if no one acknowledges it. Once it’s on a receipt, you can discuss as a team what to do with it. Finish work earlier, more time for customers, less overtime. That’s a decision, not a matter of chance.

To be more specific: the AI time account

The receipt is the sales slip. The AI time account is the account statement.

The Excel template builds on that same idea and takes it a step further: It also tracks the amount of follow-up work required, the quality of the result, the type of task, and the AI tool used. And she figures out which activities and tools will actually be most effective for you.

The template focuses not only on minutes, but also on quality. Based on both of these, one of four ratings is automatically generated:

  • Removal: Saves time, with the same or better quality. More of that.
  • Caution: Time was saved, but quality suffered.
  • It’s still worth it: it doesn’t save time, but it does yield better results.
  • Misuse: No time saved and no better results. It’s better to do this task without AI again.

These four categories are the real reason why the template exists. Otherwise, simply counting the minutes can quickly lead to the conclusion that AI is always good.

Two Rules to Make the Numbers Mean Something

Rule 1: Estimate beforehand

Before you start, think about how long it would have taken you without AI. Write down this number first. Those who estimate after the fact almost always underestimate the cost, because the immediate result clouds their judgment. A rough estimate beforehand is worth more than a precise one afterward.

Rule 2: Count Overtime Honestly

Correcting, checking, rewriting, verifying sources, and starting all over again: All of this is part of working with AI these days. Without this figure, any use of AI looks like a profit. This number is where things get interesting.

Yes. If you open it on a different device or in a different browser, you’ll start from scratch. If you want to track data across multiple devices, the Excel template is a better option.

Yes, the tool is designed for cell phones, tablets, and desktops. On a cell phone, you’re most likely to log a task right after you finish it, and that’s exactly when the numbers are the most accurate.

A little reward on the side. The more time you collect, the more you unlock. It’s nothing you have to redeem, but it makes the process a lot less tedious.

Why should I pay CHF 15 if the tool is free?

Because the original document answers other questions. The receipt shows you how much time you saved. This guide shows you where to shop, what to buy, and at what price for the quality you want. If you just want to measure for yourself, the receipt is more than enough. If you need numbers that someone else should see, use the template.

Microsoft Excel, version 2016 and later, on Windows and Mac. It can be opened in Google Sheets and Apple Numbers, but drop-down menus and formatting may become misaligned. For full functionality, I recommend Excel.

How long should I measure?

Two to four weeks is a good timeframe. The data becomes meaningful once there are about twenty entries in total; for comparing individual activities or tools, it becomes meaningful once there are about five entries per line.

Yes. It’s not about precision down to the minute, but about orders of magnitude and patterns. Whether a task would have taken 90 or 100 minutes makes little difference to the result. Whether AI saves twenty minutes or costs fifteen minutes makes all the difference.

These are a special case, because in this situation you’re not saving time—you’re doing something extra. Either don’t record it at all, or honestly enter “zero” for “Time without AI.” Then the task goes into the evaluation, and at the end you’ll see how much extra work you’re doing.

Then, in four weeks, you’ll have learned something that takes others years to learn. It’s perfectly normal for some missions to end in failure. The only thing that matters is what you do differently afterward.

No, and that’s not the goal either. These are self-reported data with estimated comparative values; they are not a controlled study. This is sufficient for internal decisions and business cases, as long as you specify it exactly that way.
